Improving access to meeting documents

02/10/2015

New pages go live

On 1st October the Codex Secretariat published a new version of the Codex meetings page as part of a continued move towards better visibility, access and availability for working documents.

Users will now be able to see an "electronic" agenda for Codex meetings and quickly download the documents they require.

To access a specific meeting users should click on the relevent meeting on the "Current year and forthcoming meetings page" shown here on the right.

The individual meeting page lists all the documents available for that meeting in the order they appear on the agenda (item number).

New user features

A user can clearly see when a specific language version of a document becomes available (if translation into that language is provided for in that meeting). The column OL stands for "Original Language". Documents will appear in that column if they are not tranlsated (which is often the case for some Conference Room Documents - CRDs).

The example page illustrated on the left is the recent CCSCH2 session in Goa.

Item

This is the agenda item number. Decimals are used to show when (for example) addenda have been published to a particular agenda item.

Item numbers starting from 100 indicate CRDs

Description

This will typically be the title of the agenda item.

Upload date (beta phase)

This indicates the date the document was made available on the web. If you browse the website in English you will see the upload date for English documents. Similarly if you browse in another language, the date will refer to that particular language version.

Language versions

If the red pdf symbol is present, then the document is available. OL = Original Language.

Document Reference

This is the name of the working document and folllows the current naming convention for all Codex meeting documents.

Search and sort functions

Use the search box to find a particular item. By clicking on the orange table column headings you can also sort the information present (e.g. by date).

Further enhancements

These pages will be piloted in the forthcoming meetings in Mexico and Norway. We welcome user experiences, feedback and suggestions to [email protected] or via Secretariat staff and Officers present at meetings.
